What is the proper deductible on my insurance?
When evaluating a deductible, whether it is on property, auto, or general liability insurance, you must ask yourself these questions.
- “What would be the smallest size claim you would turn in to your insurance carrier?”
- “What would be the most you could absorb if something catastrophic happened?”
If you would want to turn in smaller claims, then have a deductible between $250 and $500. You would pay more in premiums each year but you would also be getting reimbursed for more of the claims you have.
Having a higher deductible is a good risk management technique to keep the small losses off of your loss history. This can help with keeping your overall premium down over the years.
If you wouldn’t bother turning in a claim that was under $1,000 then why have a $500 deductible? You would just spend more money on the premium while not turning in any small claims.
What this all boils down to is having a conversation with your agent or broker. Talk to them about what the different options are, and select the best deductible that fits your situation.

Chamber's Women in Business Committee assemble over 100 backpacks for children in need
Proud members of our Women in Business Committee stand behind the backpacks filled with school supplies that they collected and assembled to donate to Saratoga County Domestic Violence and Rape Crisis Services (DVRC) and the Mechanicville Area Community Services Center. This is the third year in a row the committee has donated over 100 backpacks to benefit Saratoga County children in need.
Keith VanVeghten Joins Chamber Team
Keith VanVeghten, a recent graduate of Siena College with a bachelor’s degree in marketing/management has joined the Chamber team as an intern. Keith says, "I am looking forward to contributing to the growth and overall success of businesses in Southern Saratoga County. Tips on How To Speed Up Payment of Receivables
1. Conduct an accounts receivable "aging" on a regular basis, ranked by the invoice date, not the statement date. Aging gives you not only a better handle on how long accounts are overdue but also the dollar amount of your company's receivables outstanding.
2. Regularly reconcile the accounts receivable ledger with the general ledger.
3. Offer discounts for prompt payment, and be sure to keep tabs on which customers receive this incentive. Many companies continue providing discounts to customers whose payments miss the deadlines set for the special deals. This hurts cash flow and chips away at the bottom line.
4. Give customers credit ratings and distribute those ratings to the appropriate departments in your company. This includes sales, customer service and data processing. If you revise a customer's credit rating, adjust every department's records accordingly.
5. Train your sales force to accelerate collections. For instance, an associate can tactfully remind an existing customer of an outstanding bill before selling that customer another product or service. Consider giving your sales team the leeway to reduce late fees or past-due interest charges in exchange for payment on the spot. Instruct your employees to be fair, consistent, and polite in order to maintain a positive future relationship with customers.

Ribbon Cutting
DeCrescente Distributing Co., Inc. (DDC) celebrated the official opening of its Employee Fitness & Wellness Center. The recently completed project at DDC’s facility is located at 250 No. Main Street, across from the Main Warehouse and Distribution Center. DeCrescente is at the forefront of opening up such a facility, becoming the first Beer and New Age distributor in the state and one of only a few nationwide to do so. The Women in Business Committee seeks donations of back-to-school supplies such as backpacks, notebooks, pens, pencils, crayons, markers, etc. Donations of personal care items; soap, shampoo, toothpaste and other toiletries are also welcomed. Getting Maximum Impact from Your Online Videos
Some tips to keep in mind when producing videos for your website are:
- Provide a descriptive title and description for both the page your video resides on and the video itself (a good place for keyword phrases you are targeting)
- Keep it short (5 minutes or less – we typically recommend 2 minutes; if you need more time break the video up)
- Keep it relevant
- Have call to action on opening freeze frame and as the closing frame
- Make sure the video speaks to the type of company you are
- Make it unique

The Women in Business Committee seeks donations of back-to-school supplies such as backpacks, notebooks, pens, pencils, crayons, markers, etc. Donations of personal care items; soap, shampoo, toothpaste and other toiletries are also welcomed. Understanding what a reporter or editor considers newsworthy is the first step in getting media coverage. Ask yourself the following questions:
- Is it new?
- Is it controversial?
- Does it impact anyone? Does anyone care?
- Is it interesting or entertaining?
- Does it connect to a larger issue or trend?
- Is it local?
- Do you have an “est”? (biggest, fastest, first, etc.)

Word-of-Mouth Referrals are Gold
Word of mouth, often called referrals, are great because those folks who love your business best become your cheerleaders.
The essence of creating your own referral machine is this:
1. Be Referral Worthy: Needless to say, the foundation of getting referrals from satisfied customers is to be a business that satisfies customers.
product or service at a fair price. “That is the minimum of what is expected of you,” John told me. Instead, your job, if you want referrals, is to take a customer through a cycle John calls “know, like, trust, try, buy, repeat, and refer.”
Makes sense, eh? For someone to refer you, they must first learn about your business, trust it, try it and like it, shop there again, and only then will they refer you.
2. Start With Existing Customers: It is not enough to simply provide a good product or service at a fair price. Equally importantly, you have to make it easy for customers to refer business to you once they like you and are repeat customers: Create customer loyalty programs. Give people incentives to refer business to you. Ask for referrals.
And most importantly, connect with your customers and give them many ways to connect with you:
- Connect using IM, Twitter, Facebook fan pages, and your website
- Offer feedback forms on your site and with invoices
- Take frequent customer surveys
- Call them and ask how you are doing
- Create customer review panels
- Welcome customer complaints
3. Create a Strategic Partner Network: The idea here is to find businesses similar to yours – companies that share your values and are also exceptional and worthy of referrals.

What will cause customers to buy from you rather than your competitors? The answer is to meet their needs in these five critical areas:
- Price - Getting this right is the first order of business. Nearly three-quarters of Americans say they're living a simpler life, spending less and being more frugal as a result of the recession. It's essential to meet or beat the competition's pricing on selected front-line products and services. Then you can provide bundled services or additional products at more profitable price points.
- Added Value - Online comparison shopping is the norm these days, and whether you sell online, offline or both, shoppers are looking for that little extra nudge when choosing where to make their final purchase. Free shipping, coupons and buy-one get-one sales are currently among the most popular incentives.
- Convenience - Gone are the days of cheap gas and moms with unlimited time to shop. Now customers want and expect convenience. If you have an e-commerce website, streamline the checkout process, particularly for returning customers. Building Strong Relationships With the Media - Being Proactive
Don’t wait for the media to contact you. Telephone and introduce yourself to business reporters in key print and broadcast media targets, including daily newspapers, business-to-business periodicals, and network affiliate television stations. (However, before launching into your conversation, ask if the reporter is on deadline. If the reporter’s deadline is looming, state that you’ll call back at a more convenient time.) Offer to be a local point of contact for your industry. Then follow up that offer by regularly forwarding information that could be used as background for stories, even if the angle does not include your company. Monitor the target media’s coverage of your industry and send additional information or provide personal contacts to support follow-up stories. Issue media advisories to inform reporters about important industry events and activities planned for the local area; pick up the phone and alert reporters when major news in your industry breaks. Once you build a reputation as the local “go-to” expert for your industry, you’ll find reporters relying on you more and more for background information and quotes for stories.

Seven factors to consider for creating good word of mouth for your company and its products:
1.Quality: From your first day of business, all company employees must be aware of the importance of maintaining quality, and systems must be put in place to monitor it.
2.Service: Regardless of whether your product is a high or low service one, customers' problems must be addressed and solved with a minimum of effort on the customer's part and in a timely fashion.
3.Instructions: Many products need to be assembled or explained. The instructions accompanying the product must be clear and concise.
4.Communications: All contact with your customers and their inquiries must be courteous and knowledgeable. This starts with the telephone. Have a human answer your phones, not a computer like most large companies do.
5.Value: The value of the products you deliver to your customers is paramount if you want them to return and spread the good word about you. The value must meet or exceed their expectations.
6.High integrity: You want all your stakeholders and customers to trust you. This trust must be earned continuously.
7.Be a good citizen: A company has a responsibility to take actions to enhance the quality of life of its community and employees. This good citizen appellation should not be just empty promises for show.

Baskets of Hope- "Backpack Program"
The Women in Business Committee is extending their reach on the Baskets of Hope Program that benefits the women and children staying at the Saratoga County Domestic Violence Shelter. This August will mark the third year the committee will be assembling backpacks filled with school supplies for the children who are staying at the shelter or needing the services of DVRC at the start of the school year.
Donations of all school supplies and/or backpacks are needed as well personal care items for the women. Items may be dropped off at the Chamber office during regular business hours. The members Women in Business Committee would like to extend a sincere thank you to all the members who have been so supportive of this important program. Learn from Departing Employees
If you want the truth about your company, ask people on the way out. Exit interviews can deliver important inside information. The way departing employees view your organization might be the way things really are.
1. Get third-party interviews. Many departing employees don't want to burn bridges or sour an ex-employer against them. One way to get them to open up is to have a third party conduct exit interviews. You can contract with a human resources consultant if your company doesn't have the resources to handle the task in-house.
2. Dig to the heart of the matter. It isn't enough to just ask employees why they're leaving. You often have to probe, as illustrated by the questions below.
3. Scrutinize the comments collectively. Individual exit interviews can be interesting, but when viewed together, they take shape as a powerful management tool.
For example, you might discover that one department has turnover problems and decide to send that manager for additional training. Or you might find that long commutes are driving people away and decide to add telecommuting options or flexible schedules so employees can escape rush hour.
Departing employees can be important agents for change. Use the opportunity to help your company improve.

Getting Maximum Impact from Ads
Use your ads for more than just space advertising. Ads are expensive to produce and expensive to run. But there are ways to get your advertising message in your prospect's hands at a fraction of the cost of space advertising.
Distribute ads internally to other departments--engineering, production, sales, customer service and R&D--to keep them up to date on your latest marketing and promotional efforts.
Turn the ad into a product data sheet by adding technical specifications and additional product information to the back of the ad reprint.
Ad reprints can be used as inexpensive direct mail pieces. You can mail the reprints along with a reply card and a sales letter. Unlike the ad, which is "cast in concrete," the letter is easily and inexpensively tailored to specific markets and customer groups.
If you've created a series of ads on the same product or product line, publish bound reprints of the ads as a product brochure. This tactic increases prospect exposure to the series and is less expensive than producing a brand new brochure.
Use your ads again and again. You will save money--and increase frequency--in the process.

If you accept and store credit card payment - take notice
The credit card brands have joined forces to form the PCI Data Security Standards Council (PCI DSS), establishing security requirements and standards for all businesses that accept and store credit card payments. All businesses are required to be PCI Compliant by July 2010. In the event of a data security breach after July 2010, those businesses not meeting the PCI requirements will be subject to large fines from the credit card brands as well as the possibility of losing the ability to accept credit cards altogether.
Fortunately, there are steps small and medium-sized companies can take to reduce risks. The Chamber of Southern Saratoga County is holding an informational meeting this Friday, May 20 at 7:45 AM at the Chamber Offices to help you become PCI compliant before July 2010. Alpin Haus, one of the Northeast's largest family-owned outdoor recreation retailers, made a splash during the grand opening celebration of the new Alpin Haus Pools & Ski Shop at Clifton Park Center. Representatives from Alpin Haus were joined by Town of Clifton Park Supervisor Phil Barrett, Southern Saratoga County Chamber President Peter Aust and local business leaders for a special ceremony to welcome the arrival of the new 6,000 square foot store, which will serve as the Capital District hub for the outdoor recreation retailer.

Effective Google Searches - Use Exact Phrases
When looking for an exact phrase, keep in mind that Google is not only searching for the phrase in the search box, but also the individual words. To limit the search to the exact phrase alone, enclose the phrase in quotation marks. Review the examples below:
bye bye miss American pie returns 169,000 web documents. In this example, the search returned a site for horse racing, a math challenge site and various political and news sites.
"bye bye miss American pie" returns 49,100 web documents that are more specific to the popular Don McClean song and include links to watch or listen to the song.

Easy Method for Creating Strong Passwords
The best practices for passwords include; numbers, upper and lower case letters, and symbols. It is also highly recommended to change passwords often. The problem with this is many people forget their passwords or write them on paper or document them on their computer, defeating the purpose of security.
An easy way to create and remember passwords is to make a sentence. Write out the sentence using proper punctuation and capitals where required. Substitute appropriate symbols if possible.
Here are two examples.
Sentence: I have been a Yankees fan since 1985. Password: Ihb@Yfs1985.
Sentence: The Boston Red Sox won the World Series in 2007. Password: TBRSwtWSi2007.

How To Overcome The Embarrassment of Talking About Your Prices
1) Have a good pricing strategy. Research the average fees for your type of business so that you know your prices are in line with expectation.
2) Put your fees on your website and brochure. In this way, prospects will know your fees before the sales conversation begins.
3) Be honest. Tell the prospect what the options are for your services or products, any quantity discounts you offer, and how payment is delivered.
4) Act confidently when delivering your fees. Don't downplay your fees.
5) Don't automatically offer discounts.
6) Get training. If you're uncomfortable with the whole sales process, get sales training.
Talking about your prices can be uncomfortable. But with practice and persistence, and a willingness to overcome your fears, you can begin to have comfortable conversations with your prospective customers.

Facebook pages are a great way to promote your business and interact with your customers, but the default URL that Facebook assigns when you create the page are unwieldy. Wouldn't it be nice to have a shorter URL that is easier for customers to remember?
It's easy to do so once your page has 25 or more fans. Here's how:
After you sign in to Facebook, go to: http://www.facebook.com/username/. When you get there, click on "Set a username for your Pages." (Only the "Set a username" part of the link is clickable.)
If you have more than one page, choose the page you want to get a short URL for. Carefully choose the URL. Your business name would be best if available, and the rules say it can't be generic (such as facebook.com/pizza). But BE CAREFUL - once you hit the confirm button, your URL can't be changed. Presto. You're done - and you now have a nice, easy-to-remember URL for your Facebook page.

Your Chamber has partnered with JIMAPCO and The Spotlight Newspapers to produce a new, innovative virtual and printed map of our region along with a brand new ‘Think and Buy Local' Directory of all Chamber members. The map will utilize both an online version with interactive features and a printed version of 10,000 copies for wide distribution. Maps remain the Chamber's most widely requested publication by visitors, new and existing residents and business members alike. The ‘Think and Buy Local' Directory will be published by the Spotlight Newspaper and the 25,000 copies will be included in new welcome packets, located in retail outlets and distributed in the newspaper throughout southern Saratoga County.

• Refill and reuse empty printer cartridges - Empty ink jet and toner cartridges can be refilled and reused multiple times. • Use rewriteable CDs and DVDs so they can be re-used again. • Print double-sided. • Decrease margin areas to fit more copy on a page. • Double-check your drafts before you print. • Communicate with team members about who will bring printouts to meetings. • Turn off all electrical equipment at night.

10 Surefire Signs That You Are Infected With Spyware, Malware, and Viruses
Since most malicious programs are designed to hide themselves, detecting their existence is not always easy. However, there are a few surefire signs that you have been infected:
1 - You start getting swamped with pop-up ads that seem to come from nowhere and constantly interrupt your use of the computer. 2 - Your computer is unstable, sluggish, locks up, or crashes frequently. 3 - Your web browser's home page changes on its own and you cannot modify the settings. You may also see toolbars on your web browser that you did not set up. 4 - You get a second or third web browser popping up behind your main browser that you didn't open or request. 5 - Mysterious files suddenly start appearing. 6 - Your CD drawer starts opening and closing by itself. 7 - You get constant runtime errors in Microsoft Outlook or Outlook Express. 8 - You find emails in your "Sent Items" folder that you didn't send. 9 - Some of your files are moved or deleted or the icons on your desktop or toolbars are blank or missing. 10 - You suddenly see your self appear in a window from your webcam.

Helping Your Staff to Thrive
1. Trust them - Give your employees responsibility and authority. Show them what has to be done and the standards you want them to meet. Then, let them do their jobs.
2. Offer them the opportunity to grow - Although some people might be content to perform the same tasks month after month and year after year, most people would prefer to learn new skills and be given more responsibility as time goes on.
3. Communicate - You reduce the chance for misunderstandings and increase the chance of success when everyone on your team knows what’s going on. Even short meetings can be helpful and keep you and your employees in sync.
4. Recognize effort and accomplishment - Everyone wants to have their hard work acknowledged, even when things don’t work out as planned. People thrive when they feel appreciated, and a simple ‘thank you,’ can make your staff members feel that they’re a valuable, contributing part of your team. Recognition has been shown to be an extremely positive motivator of employee behavior.
5. Reward accomplishment - Rewards reinforce behavior. Even small rewards—whether cash, promotions, time off, gifts, something as simple as a candy bar or certificate of achievement—show that you appreciate what they are doing for you and your business and keeps employees wantingto do more.

Chamber Committee Spotlight - Committee on Small Business Resources (CSBR)
The Committee on Small Business Resources carefully monitors the needs of our business community and provides relevant value-added business education programs in the form of presentations, seminars, and workshops. Programs include monthly seminars, the StartUp Smart Program Entrepreneurial Training Program and the Speakers Bureau. Chamber Tip of the Week
Businesses that treat workers as independent contractors face an increasing risk that state and federal agencies will contest the classification of some of these individuals. Although independent contractor relationships have long been an audit target, governments experiencing deep financial pressures are scrutinizing them with new fervor.
There are several steps a business can take to increase the chance that workers are properly classified as independent contractors.
1. Have written, signed contracts with workers classified as independent contractors, spelling out the terms and conditions of the relationship. Consult with your attorney in the preparation of contracts.
2. Once contracts are in place, give outside workers leeway over how they perform their duties. Resist the urge to supervise them the way you oversee employees.
3. Send each contractor a Form 1099 showing non-employee income if you pay $600 or more in a calendar year. The annual deadline for sending these forms is January 31.
4. Consistently treat workers performing similar tasks as either independent contractors or employees. Don't supply outside workers with services you give employees. Some companies run into trouble after they provide office space, computers, cars and other perks.
5. Maintain good records. Obviously, you need to keep an independent contractor's taxpayer ID number and other information required by the IRS, but you should also keep items that help prove the person is self-employed. For example, business cards, a letterhead, invoices and advertisements placed in newspapers. Keep copies of business licenses and print out a contractors' Web site pages showing that services are offered to the public. A simple listing in the yellow pages of the phone book is sometimes enough to convince an IRS auditor that an independent contractor is in business for him or herself.
6. Do a self-audit of each worker's or each class of workers' status before a federal or state agency conducts one.
7. Have your tax adviser, attorney or HR professional familiar with employment law in your state conduct an audit of each worker's status.

Making the Most of Mixers - Networking Tips
- Set a realistic goal of meeting 4-6 new people at each mixer.
- Practice and refine your elevator speech - you generally only have one chance to make a good first impression.
- The Chamber features a list of attendees on their website that you can view the day of the event so that you can target the individuals you'd like to meet. Ask the Chamber staff and Ambassadors to assist you with introductions.
- Don't over-extend time talking to any one particular person. Always ask for business cards and permission to call them in the next few days.
- Do a follow-up phone call and schedule a meeting. Don't wait for them to call you.
- Keep going - the more mixers you attend - the more comfortable you'll become and the more people you'll add to your network of contacts.

Communicate with Respect & Impact
Good ideas can be torpedoed just by using "but". If you say, "That's a great idea, but..." The effect is "my idea just got trashed." Using "but" in this context is a sure way to play the "one-up" power game by shutting down the other side. Try using "Yes, and . . ." instead. First find something you like in what is said (the "yes" part). Then, respond by acknowledging it. "What I like about your idea is __________." Next, offer your perspective by using "and" as a substitute for "but". "And, what if we were to look at your idea this way?" This simple exchange of "and" for "but" shifts the playing field to one of greater equity & respect, from "put-down" to partnership. It opens the door for what is possible, and exams what could work, rather than what does not.

New study shows Chamber of Commerce members offer safer bet when it comes to business credit risk
The American Chamber of Commerce Executives (ACCE) announced the publication of a new study finding that chamber of commerce members possess an average credit score of 629, compared to a 557 average score for businesses at large. Such scores - the payment behavior from which they are derived -- play a significant role in attracting lines of credit and securing favorable terms from lenders and suppliers.

New entrepreneurs can avoid costly mistakes that many people make when starting out in business if they have the right information. The Chamber of Southern Saratoga County's StartUp Smart is designed especially for individuals who are thinking about starting their own business or have just begun the process.
The unique program consists of seven seminars on topics ranging from writing a business plan to monitoring cash flow, preparing budgets, and increasing profitability. 2010 IRS Mileage Rates
The IRS has changed and issued the new 2010 standard mileage rates for operating an automobile for business, charitable, medical, or moving purposes.
Begining January 1, 2010 the standard mileage was changed to:
- 50 cents per mile for business miles driven
- 16.5 centers per mile driven for medical or moving purposes
- 14 cents per mile driven in service of charitable organizations
